Privacy Notice

Effective 8 September 2026

This notice explains how BirdLab (Building Informatics R&D Lab Ltd) uses personal information submitted through the enquiry form on this website or sent directly to BirdLab by email.

Who we are

BirdLab (Building Informatics R&D Lab Ltd) is the organisation responsible for deciding how personal information covered by this notice is used.

For privacy questions or requests, contact events@birdlab.tech.

Information we collect

When you make an enquiry, BirdLab may receive:

  • your first and last name;
  • your work email address;
  • the subject of your enquiry;
  • the contents of your message; and
  • any other information you choose to include in subsequent correspondence.

How the form works

Website enquiry information is submitted through Formspree, a third-party form-processing service, and is then delivered to BirdLab. The enquiry form therefore does not require the visitor’s own email application to open in order to send a message.

Formspree processes the information submitted through the form on BirdLab’s behalf for the purpose of receiving and delivering the enquiry. Once received by BirdLab, the message may also be processed through the email and IT services used by BirdLab.

Why we use your information

BirdLab uses enquiry information to:

  • read, assess and respond to your enquiry;
  • understand interest in BirdLab’s presentations, seminars and industry events;
  • plan appropriate follow-up communications or event invitations; and
  • maintain relevant records of correspondence.

BirdLab relies on its legitimate interests in communicating with people who contact the company, managing relevant professional relationships and organising its research and industry activities. BirdLab considers these uses proportionate to the nature of an enquiry and the reasonable expectations of the person making it.

Who receives your information

Enquiry information is available only to people at BirdLab who need it to respond or manage related activities. It may also be processed by service providers supporting BirdLab’s email, IT systems or professional advice, where this is necessary and subject to appropriate confidentiality and data-protection arrangements.

BirdLab does not sell personal information.

International transfers

Some email or IT service providers may process information outside the United Kingdom. Where personal information is transferred internationally, BirdLab will use an applicable lawful transfer mechanism and appropriate safeguards.

How long we keep it

Routine enquiry correspondence is normally retained for up to 24 months after the last meaningful contact. Information may be kept for longer where this is reasonably necessary for an ongoing professional relationship, to establish or defend legal claims, or to meet a legal or regulatory obligation.

Your rights

Depending on the circumstances, you may have the right to request access to your personal information, ask for inaccurate information to be corrected, request erasure or restriction, object to processing, or receive certain information in a portable format.

To exercise a right, email events@birdlab.tech. BirdLab may need to confirm your identity before completing a request.

Complaints

Please contact BirdLab first if you have a concern so that it can be investigated. You also have the right to complain to the Information Commissioner’s Office, the UK data-protection regulator, through ico.org.uk/make-a-complaint.

Changes to this notice

BirdLab may update this notice when its enquiry process, service providers or legal obligations change. The effective date at the top of this page will show when it was last updated.
